Pre-Move Survey Guide for Pune

Use this guide to prepare an accurate moving assessment before a written quotation is issued. A useful survey records the goods, photographs, item condition, packing, floors, lift, stairs, parking, carrying distance, vehicle access, route, bulky items, specialist work and destination conditions rather than relying only on a BHK or workstation count.

Inventory-ledRooms, furniture, appliances and cartons
Access-ledFloors, lifts, stairs and parking
Assumption-ledQuote changes follow changed facts
Important: a survey is only as reliable as the information shown. Closed storage areas, omitted goods, changed addresses or unreported access restrictions can alter labour, packing, vehicle, schedule and pricing.

Survey the goods and the routeThe item list alone is not enough. The carrying path, building rules, vehicle position and destination placement can materially affect the moving plan.

Survey Formats

Choose the assessment method that can capture the actual move

The suitable format depends on the inventory, access, distance, special items and how much reliable information the customer can provide remotely.

Structured phone survey

Suitable for straightforward enquiries when the customer can provide a complete room-wise inventory, access details and photographs.

Photograph-based survey

Useful for documenting furniture, appliances, fragile items, existing condition, parking and the carrying route.

Video survey

Useful for walking through rooms, storage, access and bulky items while answering questions in real time.

Site survey

May be requested when the move includes complex access, office assets, heavy items, unusual goods or incomplete remote information.

Written inventory survey

Suitable when the customer or business already maintains a detailed list with dimensions, quantities, locations and destination zones.

Hybrid survey

Combines inventory, photographs, video and follow-up questions when no single format records the complete scope.

Destination-only review

Used when the pickup is already understood but the delivery building, lift, parking or placement needs separate confirmation.

Special-item assessment

Used for selected bulky, fragile, repaired, heavy, modified or mechanically restricted goods requiring extra detail.

Format boundary: a site visit is not automatically necessary for every move, and a remote survey is not automatically sufficient for every move. The assessment method should match the risk and information gap.
Customer Preparation Before the Survey

Prepare the rooms, decisions and information before the call or visit

The survey should record what is moving, what is not moving and what remains undecided.

Open storage areas

  • Show wardrobes, lofts and cabinets
  • Describe drawer and shelf contents
  • Include balcony and utility storage
  • Do not hide packed cartons behind furniture
  • Separate confidential contents from general volume

Confirm keep and discard decisions

  • Mark items that will move
  • Mark landlord or buyer-retained items
  • Identify goods for disposal or donation
  • List leased or company-owned equipment
  • Record undecided goods separately

Prepare property information

  • Pickup and destination address
  • Floor, lift, stairs and parking
  • Society or office move window
  • Loading-bay or basement restrictions
  • Preferred move date and route

Prepare item information

  • Furniture and appliance photographs
  • Approximate dimensions where important
  • Existing damage and repaired areas
  • Fragile, heavy or unusual items
  • Dismantling or technician requirements

Prepare contact information

  • Authorised booking contact
  • Pickup representative
  • Destination receiver
  • Society, building or facility contact
  • Billing details where applicable

Separate customer-held items

  • Cash and jewellery
  • Identity papers and financial records
  • Medicines and keys
  • Personal laptops and data devices
  • Irreplaceable personal records
Room-by-Room Inventory

Record contents by room and item group

A complete survey should account for visible furniture, loose goods, stored contents and items that require special preparation.

Photograph and Video Survey Guide

Capture the item and the complete route without exposing sensitive details

Useful images should help assess size, condition, access and packing rather than simply proving that an item exists.

Show the whole item

Use a wide view before close-ups so the item’s overall shape, detachable parts and surrounding access are visible.

Show condition concerns

Photograph cracks, loose joints, repairs, dents, stains, glass chips and other visible concerns before packing.

Show size reference

Provide approximate dimensions or a clear measurement for items that may not fit through a lift, doorway or vehicle opening.

Show the carrying path

Capture apartment doors, corridors, stairs, lift doors, landings, loading bays and the parking point.

Show storage volume

Open wardrobes, lofts and cabinets enough to show approximate moving volume without displaying private documents.

Show appliance connections

Capture hoses, cords, shelves, wall mounts or technical connections that require preparation or specialist work.

Avoid sensitive close-ups

Do not send readable identity papers, financial records, passwords, access cards or confidential business data.

Name files consistently

Use room and item names so photographs can be matched to the inventory and quotation assumptions.

Access and Measurement Survey

Measure the narrowest and most restrictive points

The vehicle may reach the building while the item still fails to fit through a doorway, lift or staircase.

Record at pickup and destination

  • Floor and lift availability
  • Lift door and cabin dimensions
  • Staircase width, turns and landings
  • Doorway and corridor restrictions
  • Parking or loading-bay distance

Do not assume

  • The destination lift matches the pickup lift
  • A commercial vehicle can enter the basement
  • Society permission will be granted automatically
  • Large furniture can be dismantled safely
  • External lifting is included or feasible
Measurement rule: share actual dimensions for bulky items and access points where fit is uncertain. A building name, floor number or vehicle type does not replace measurements.
Special-Item Survey

Disclose goods that need separate handling or feasibility review

Selected items can determine whether ordinary packing, labour and vehicle planning are suitable.

Fragile and glass goods

  • Mirrors and glass-top furniture
  • Artwork, décor and frames
  • Existing cracks, chips or repairs
  • Original or custom packaging
  • Orientation and stacking limits

Heavy and bulky goods

  • Safes, machines and gym equipment
  • Large refrigerators and wardrobes
  • Approximate weight and dimensions
  • Grip points and movement restrictions
  • Complete pickup and destination route

Modified or repaired goods

  • Added fittings or extensions
  • Previous carpentry or welding
  • Weak joints and concealed damage
  • Manufacturer movement instructions
  • Feasibility before ordinary handling

Electronics and data devices

  • Screen and equipment dimensions
  • Original packaging availability
  • Accessories and cable grouping
  • Customer or IT shutdown responsibility
  • Data and credential custody

Plants and balcony goods

  • Pot size and condition
  • Soil, water and loose branches
  • Route, vehicle space and feasibility
  • Weather exposure
  • No survival or freshness guarantee

Restricted or customer-held goods

  • Cash, jewellery and documents
  • Medicines and personal keys
  • Live animals and pets
  • Liquids, perishables and prohibited goods
  • Items requiring another provider
Packing and Material Survey

Record who will pack and what protection may be required

The survey should distinguish mover-packed goods, customer-packed cartons, unpacked furniture and custom work.

Mover-packed goods

List rooms, item groups, fragile goods, furniture surfaces and the required packing or unpacking scope.

Customer-packed cartons

Record quantity and visible condition. Internal packing quality cannot be verified after the cartons are sealed.

Furniture protection

Identify polished surfaces, upholstery, mirrors, detachable parts, weak joints and destination access.

Fragile-item support

Record glass, artwork, unusual shapes, existing weakness and whether custom support or crating requires assessment.

Office labels

Record department, workstation, asset, destination zone and open-first requirements for business moves.

Unpacking scope

Confirm whether the destination work ends at unloading, room placement, carton opening or a separately defined unpacking scope.

Material removal

Confirm whether ordinary packing-material collection is included and what remains outside the service.

Weather planning

Record open carrying routes, monsoon exposure, dry staging areas and covered vehicle assumptions.

Use the Packing Material Guide for Pune Moves to understand the material categories, then use the Packing and Unpacking Services in Pune page for the commercial packing scope.

Survey Differences by Move Type

Adjust the assessment to the actual service

The same core inventory and access principles apply, but different moves require different supporting information.

Quotation Assumptions

Read the recorded facts that support the written price

A quotation is not only a total. It should identify the inventory, packing, access, vehicle, route, date and work that the price assumes.

Assumptions to confirm

  • Final inventory and approximate carton count
  • Floors, lift, stairs and parking
  • Packing and unpacking responsibility
  • Vehicle and transport arrangement
  • Move date, route and destination placement

Typical revision triggers

  • Added furniture, appliances or cartons
  • Changed address, route or extra stop
  • Unavailable lift or longer carrying path
  • New custom packing or technician work
  • Waiting, storage or redelivery requirement
Budget reference: review the Pune Moving Charges Guide, then compare the indicative components with the survey-based written scope.
Changes After the Survey

Update the mover before move day rather than waiting for the crew

A changed inventory or access condition can affect the complete operational plan.

Added goods

Share new furniture, appliances, cartons, plants, balcony goods and office assets with photographs where useful.

Removed goods

Record major removals so the packing, vehicle and labour assumptions remain current.

Changed address

Provide the new route, property access, floor, lift, parking and destination placement.

Changed date

A revised date or move window may affect crew, vehicle, carrier and building availability.

Changed packing decision

Customer-packed versus mover-packed goods, custom packing and unpacking should be revised in writing.

Added vehicle movement

Car or bike transport requires a separate vehicle, route, document and condition assessment.

Added storage

Storage is available only when expressly confirmed in writing and requires accepted-goods and access conditions.

Changed building rules

New permissions, lift slots, bay limits or restricted hours should be reported before dispatch.

Privacy and Survey Records

Share enough information to assess the move without exposing private data

Photographs and videos should focus on the goods, condition and access.

Useful survey records

  • Room and item photographs
  • Approximate dimensions and quantities
  • Existing damage or repaired areas
  • Building access and parking
  • Authorised contact and route information

Keep under customer control

  • Readable identity and financial papers
  • Passwords, access credentials and security codes
  • Cash, jewellery and personal valuables
  • Confidential business records
  • Unnecessary personal or family information
Record rule: keep the quotation, material assumptions, item photographs, access notes and written changes together so the accepted scope can be checked later.

Pre-Move Survey FAQs

Questions about survey formats, photographs, access and quote changes

The visible answers match the FAQPage structured data embedded on this guide.

What is a pre-move survey?

A pre-move survey records the goods, access, route, packing, labour, vehicle and special conditions needed to prepare a written moving quotation.

Is a home visit always required?

No. Some moves can be assessed through a structured phone call, photographs, video or a detailed inventory. A site visit may be requested when the goods, access or risks cannot be assessed reliably from remote information.

What should I show during a video survey?

Show each room, storage area, balcony, loft, furniture, appliances, cartons, fragile goods, bulky items, stairs, lift, parking point and the carrying route without omitting goods that may move.

Should cupboards and drawers be opened during the survey?

The customer should disclose the contents and approximate volume of goods inside cupboards, lofts, drawers and storage areas. Personal valuables and confidential contents do not need to be displayed in detail.

Why are photographs and dimensions requested?

Photographs and dimensions help assess item condition, packing, lift or doorway fit, dismantling feasibility, vehicle space and special handling requirements.

Does the survey create a final fixed price?

The written quotation is based on the information and assumptions recorded. Added goods, changed access, route, date, packing or specialist work can require a written revision.

What access details should be included?

Share floors, lift dimensions, stairs, parking distance, loading bay, basement limits, gate rules, society or office permissions and the proposed vehicle position.

How are fragile or heavy items surveyed?

Provide photographs, approximate dimensions, weight where known, existing condition, repaired areas, packing needs and the complete pickup and destination route.

Can office relocations use the same survey format?

Office surveys also need workstations, files, furniture, selected corporate IT assets, destination zones, restricted hours, loading bays, IT boundaries and authorised contacts.

What happens if I add items after the survey?

Share the changes before the move. Additional furniture, cartons, appliances, plants, vehicles or stops may change packing, labour, vehicle capacity, timing and pricing.

Is survey information kept private?

Only information needed for the quotation and move should be shared. Cash, jewellery, identity papers, passwords, personal data devices and confidential records should remain under customer control.

How are damage concerns reviewed?

Claim review is available for damage caused during our handling. Review may consider the survey information, item condition, packing responsibility, photographs, access and handover evidence.
